Onboarding Wizard ​

After your first login, ZenTraq guides you through a setup wizard to configure your CRM workspace for immediate use.

Overview ​

The onboarding wizard consists of six steps. Each step is optional and can be completed later from Settings.

Step 1: Organization Profile ​

Configure your company identity. These details appear on invoices, quotes, and customer-facing documents.

Branding

Upload a high-quality logo now. It will automatically appear on all invoices, quotes, and email signatures generated from ZenTraq.

Based on your registration selection, ZenTraq pre-configures:

You can enable or disable any module later in Settings > Organization > CRM Configuration.


Step 3: Pipeline Setup ​

Your pipeline defines the stages that leads or deals progress through. Default stages are pre-configured but fully customizable.

Customization Options ​

For each stage, you can configure:

  • Name — Descriptive, action-oriented label
  • Order — Position in the pipeline sequence
  • Probability — Win likelihood percentage (0–100%)
  • Color — Visual identifier in pipeline views
  • Terminal Flag — Mark as "Won" or "Lost" endpoint

Multiple Pipelines

You can create additional pipelines later for different sales processes (e.g., "Inbound" vs "Outbound" vs "Renewals"). Configure in Settings > Pipelines.


Step 4: Team Setup ​

Add team members to begin collaborating.

Inviting Users ​

  1. Click Invite Users.
  2. Enter email addresses (comma-separated for multiple invitations).
  3. Select a role for each user:

  1. Click Send Invitations.

Recipients receive an email with login credentials and a link to set their password.

Role Assignment

Carefully consider role assignments. Admins have unrestricted access to all data and settings. Start users with the minimum required role and elevate as needed.


Step 5: Communication Channels ​

Configure your communication tools for direct outreach from the CRM.

  • Requires: Meta Business Manager account + WhatsApp Business API
  • Enables: Direct messaging, template messages, chat history
  • Setup guide: WhatsApp Business Setup

Email (SMTP) ​

  • Requires: SMTP server credentials (Gmail, Outlook, or custom)
  • Enables: Send emails directly from CRM, email templates, tracking
  • Setup guide: Email Server Setup

Calling (TeleCMI / PIOPIY) ​

  • Requires: TeleCMI account with agent credentials
  • Enables: Click-to-call, call recording, auto-logging
  • Setup: Settings > Communication > Calling

Skip for Now

Communication setup is optional during onboarding. You can configure these channels anytime from Settings > Communication.


Step 6: Data Import ​

Bring your existing data into ZenTraq.

Import Process ​

  1. Click Download Template for the entity you want to import.
  2. Fill in your data following the template format.
  3. Upload the completed CSV file.
  4. Map your columns to ZenTraq fields.
  5. Choose duplicate handling: Skip, Update, or Import All.
  6. Review and confirm the import.

Data Format

Ensure dates are in YYYY-MM-DD format and phone numbers include the country code (e.g., +919876543210). Incorrect formats will cause import failures.


After Onboarding ​

Once setup is complete, you land on the Dashboard showing:

  • Key performance metrics
  • Pipeline overview
  • Recent activities
  • Quick action buttons

You can revisit any setup step at any time from Settings.
