What is a Pipeline? ​

A Pipeline defines the stages that your leads or deals go through from start to finish. It's the backbone of your sales process — each stage represents a step closer to conversion.

Managing Pipelines ​

Accessing Pipeline Settings ​

  1. Go to Settings → Pipelines
  2. View all configured pipelines
  3. Click on a pipeline to edit

Creating a New Pipeline ​

  1. Click + New Pipeline
  2. Enter:
    • Pipeline Name — e.g., "Enterprise Sales", "Inbound Leads"
    • Entity Type — Lead or Deal
    • Set as Default — Whether new records use this pipeline
  3. Add stages (see below)

Adding Stages ​

For each stage:

  • Stage Name — Clear, action-oriented (e.g., "Proposal Sent" not "Stage 3")
  • Order — Position in the pipeline (drag to reorder)
  • Probability — Win likelihood at this stage (0-100%)
  • Color — Visual identifier
  • Is Won — Check if this is a "closed won" terminal stage
  • Is Lost — Check if this is a "closed lost" terminal stage

Editing Stages ​

  • Click on any stage to edit name, probability, or color
  • Drag stages to reorder
  • Delete stages (existing records in that stage will need reassignment)

Multiple Pipelines ​

Create separate pipelines for different processes:

  • Inbound Leads — Website → Qualified → Demo → Proposal → Won
  • Outbound Sales — Cold Call → Meeting → Needs Analysis → Proposal → Won
  • Renewals — Due Soon → Contacted → Negotiation → Renewed → Churned
  • Partnerships — Identified → Approached → Proposal → Agreement → Active

Each lead/deal can only belong to one pipeline.

Pipeline Features ​

Probability & Forecasting ​

  • Each stage has a probability percentage
  • Deal amount × probability = weighted value
  • Pipeline total = sum of all weighted values
  • Used for monthly/quarterly revenue forecasting

Stage-Based Automation ​

Trigger workflows when a lead enters a specific stage:

  • Send WhatsApp on "Site Visit Scheduled"
  • Create task on "Proposal Sent"
  • Notify manager on "Negotiation"
  • Send invoice on "Won"

Pipeline Analytics ​

View performance metrics:

  • Conversion Rate — % of leads reaching "Won" stage
  • Average Cycle Time — Days from first stage to close
  • Stage Duration — How long leads stay in each stage
  • Drop-off Points — Where most leads exit the pipeline
  • Value by Stage — Total deal value at each stage

Quick Filters by Stage ​

From the Leads/Deals list:

  • Filter by specific stage
  • See count per stage
  • Quick move between stages via dropdown

Best Practices ​

  • Keep it simple — 5-8 stages maximum
  • Name stages after actions — "Proposal Sent" tells the rep what happened
  • Set realistic probabilities — Based on your historical conversion data
  • Use terminal stages — Always have clear "Won" and "Lost" endpoints
  • Review quarterly — Adjust stages and probabilities based on actual performance
  • Don't skip stages — Even if a deal moves fast, log each stage for accurate analytics
  • Document stage criteria — Define what qualifies a lead to move to the next stage

Tips ​

  • Use Pipeline View on the dashboard to see your funnel visually
  • Set up Stage Change Notifications to keep managers informed
  • Track Stage Duration to identify bottlenecks in your process
  • Create Separate Pipelines for significantly different sales motions
  • Use Probability Override on individual deals when you know better than the default
