Deals & Pipeline
What is a Deal?
A Deal represents a business opportunity — a potential sale that you're working to close. Deals move through pipeline stages from initial opportunity to won or lost.
Depending on your industry, deals might be called:
- Bookings (Real Estate)
- Enrollments (Education)
- Shipments (Food Export)
- Orders (Automotive, General)
Creating Deals
From Lead Conversion
- Open a lead → Click Convert
- A deal is auto-created linked to the new Contact and Account
- Set: Deal name, Amount, Stage, Close date
Manual Creation
- Go to Deals → Click + New Deal
- Fill in:
- Deal Name — Descriptive title (e.g., "Acme Corp - Annual License")
- Amount — Expected deal value
- Stage — Current pipeline stage
- Close Date — Expected close date
- Owner — Assigned sales rep
- Contact — Primary contact for this deal
- Account — Company
- Probability — Win likelihood (auto-set by stage)

Pipeline View
List View
- Table of all deals with key columns
- Sort by amount, close date, stage, owner
- Filter by stage, owner, date range, amount
Stage Progression
Deals move left-to-right through stages:
New → Qualified → Proposal → Negotiation → Won/LostEach stage has:
- Name and position order
- Probability percentage (used for forecasting)
- Color coding
- Win/Lost flags (terminal stages)
Managing Deals
Stage Updates
- Change stage via the Status dropdown on the deal page
- Or use Quick Actions in the list view
- Stage changes are logged in the timeline
Activities
From a deal, you can:
- Log a Call — Record call notes and outcome
- Log a Meeting — Schedule or record meetings
- Create a Task — Assign follow-up actions
- Send an Email — Communication directly from CRM
- Send WhatsApp — Message the contact
- Add a Note — Internal notes for your team
Linking
A deal can be linked to:
- One or more Contacts (decision makers, influencers)
- One Account (the company)
- One or more Products (what you're selling)
- Quotes — Generated proposals
- Invoices — Bills after winning
Closing Deals
Marking Won
- Move to the "Won" stage (or "Closed Won", "Booked")
- Optionally create an Invoice
- Deal contributes to revenue metrics
- Contact marked as "Customer"
Marking Lost
- Move to the "Lost" stage
- Select a Loss Reason (price, competitor, timing, etc.)
- Add notes about why it was lost
- Lead can be reopened later if circumstances change
Forecasting
ZenTraq calculates revenue forecasts based on:
- Weighted Pipeline = Sum of (Amount × Probability) for all open deals
- Best Case = All deals in negotiation or later stages
- Committed = Deals with 90%+ probability
- Monthly Forecast = Grouped by expected close date
Filters & Views
Quick Filters
- My Deals, Closing This Month, High Value, Won, Lost
- By stage, by owner, by amount range
Saved Views
Create and save custom views:
- "Deals closing this week over $10k"
- "Unassigned deals in negotiation"
- "Deals from referrals"
Tips
- Keep close dates realistic — Update as deals progress
- Log every interaction — Build a complete deal history
- Use Next Step — Always have a clear action item
- Review weekly — Pipeline review catches stale deals
- Track loss reasons — Pattern analysis improves win rates
