Resource Allocation โ€‹

What is Resource Allocation? โ€‹

Assign team members to projects based on their availability, skills, and workload.

Creating an Allocation โ€‹

  1. Go to Resource Allocation โ†’ Click + Allocate Resource
  2. Fill in:
    • Project โ€” Which project
    • Resource (User) โ€” Team member to assign
    • Role in Project โ€” Project Manager, Developer, Designer, Consultant, etc.
    • Start Date / End Date โ€” Duration of assignment
    • Allocation % โ€” How much of their time (25%, 50%, 100%)
    • Billable โ€” Yes/No (affects invoicing)
    • Hourly Rate โ€” For billing calculations

Allocation Views โ€‹

  • By Person โ€” See all projects a person is working on
  • By Project โ€” See all resources assigned to a project
  • Calendar View โ€” Visual timeline of allocations
  • Utilization Report โ€” % of available time allocated per person

Capacity Planning โ€‹

  • Total available hours = Working days ร— Hours/day
  • Allocated hours = Sum of all project allocations
  • Available capacity = Total - Allocated
  • Over-allocated flag (>100% utilization)

Handling Conflicts โ€‹

  • System warns if a resource is over-allocated
  • Show conflicts visually (red highlights)
  • Suggest alternatives with available capacity

Deliverables โ€‹

What is a Deliverable? โ€‹

A deliverable is a tangible output or milestone that a project must produce โ€” a report, design, software module, presentation, etc.

Creating Deliverables โ€‹

  1. Open a Project โ†’ Deliverables tab
  2. Click + Add Deliverable
  3. Fill in:
    • Name โ€” e.g., "UI Design Mockups", "API Documentation"
    • Description โ€” What needs to be delivered
    • Assigned To โ€” Who's responsible
    • Due Date โ€” Deadline
    • Status โ€” Not Started, In Progress, Under Review, Completed, Overdue
    • Priority โ€” High, Medium, Low
    • Dependencies โ€” Other deliverables that must finish first
    • Attachments โ€” Upload the deliverable file when ready

Deliverable Lifecycle โ€‹

Not Started โ†’ In Progress โ†’ Under Review โ†’ Revision (if rejected) โ†’ Completed โ†’ Accepted by Client

Client Approval โ€‹

  • Mark deliverable as "Ready for Review"
  • Client receives notification (email/WhatsApp)
  • Client approves or requests revision
  • Revision cycle tracked

Deliverable Tracking โ€‹

  • % complete per project (based on deliverable status)
  • On-time vs delayed count
  • Dependency visualization (which deliverables are blocking others)
  • Client satisfaction tracking per deliverable

Timesheets โ€‹

What is a Timesheet? โ€‹

Log hours spent by team members on projects/tasks. Used for:

  • Client billing (billable hours ร— rate)
  • Internal cost tracking
  • Productivity analysis
  • Project profitability calculation

Logging Time โ€‹

  1. Go to Timesheets โ†’ Click + Log Time
  2. Fill in:
    • Date โ€” Which day
    • Project โ€” Which project
    • Task/Activity โ€” What was done
    • Hours โ€” Duration (decimal: 1.5 = 1h 30m)
    • Billable โ€” Yes/No
    • Notes โ€” Description of work done

Timesheet Views โ€‹

  • Daily โ€” Log hours for today
  • Weekly โ€” Week-at-a-glance with totals per day
  • Monthly โ€” Summary with project breakdown

Timesheet Approval โ€‹

  1. Team member submits timesheet (weekly/monthly)
  2. Manager reviews entries
  3. Approves or rejects (with comments)
  4. Approved timesheets feed into billing
