Products & Inventory ​

What are Products? ​

Products represent the goods or services you sell. They're used in Quotes, Invoices, and Deals to create line items with pricing.

Depending on your industry, this module might be:

  • Products (General Sales, Manufacturing)
  • Properties (Real Estate)
  • Vehicles (Automotive)
  • Commodities (Food Export)
  • Programs/Courses (Education)

Managing Products ​

Creating a Product ​

  1. Go to Products → Click + New Product
  2. Fill in:
    • Product Name — Clear, descriptive title
    • Product Code / SKU — Unique identifier
    • Description — What it is
    • Category — Group (e.g., Software, Hardware, Service)
    • Unit Price — Standard selling price
    • Tax — Applicable tax rate (%)
    • Unit — Piece, Hour, KG, Sq.ft, etc.
    • Status — Active / Inactive

Using Products ​

In Quotes:

  1. Create a Quote → Add Line Items
  2. Search/select a product
  3. Quantity, Price, Discount auto-populate
  4. Modify as needed per deal

In Invoices:

  1. Create an Invoice → Add Line Items
  2. Select products from catalog
  3. Set quantity and any overrides
  4. Tax auto-calculated

In Deals:

  1. Link products to a deal
  2. Track which products the customer is buying
  3. Amount auto-calculates based on products

Pricing ​

Standard Pricing ​

  • Set a base price per product
  • Applied by default when added to quotes/invoices
  • Can be overridden per transaction

Volume Discounts ​

  • Automatic discounts based on quantity ordered
  • Tier-based pricing (1-10 units: $100, 11-50: $90, 50+: $80)

Custom Pricing ​

  • Override price per customer
  • Special pricing for key accounts
  • Promotional pricing for campaigns

Inventory Tracking ​

Stock Levels (if applicable) ​

  • Current stock quantity
  • Reorder level (low stock alert)
  • Reserved (blocked for orders)
  • Available = Stock - Reserved

Stock Movements ​

  • In: Purchase/production adds stock
  • Out: Sales/shipments reduce stock
  • Reserved: Bookings block stock without reducing

Low Stock Alerts ​

  • Set minimum threshold per product
  • Notification when stock drops below threshold
  • Dashboard widget showing low-stock items

Product Categories ​

Organize products into categories:

  • Create category hierarchy (Category → Sub-category)
  • Filter products by category
  • Report revenue by category
  • Set category-level tax rules

Product Catalog (for customers) ​

Share products with potential buyers:

  • Generate PDF catalog with selected products
  • Include images, descriptions, pricing
  • Send via Email or WhatsApp
  • Public link for web sharing

Real Estate: Properties ​

Additional fields:

  • Property type (Apartment, Villa, Plot)
  • BHK configuration
  • Carpet/Built-up area
  • Floor, Wing, Unit number
  • Availability status
  • Possession date
  • Project link

Food Export: Commodities ​

Additional fields:

  • HS Code
  • Origin country
  • Certifications (FSSAI, Organic, etc.)
  • Packaging options
  • MOQ (Minimum Order Quantity)
  • Shelf life

Automotive: Vehicles ​

Additional fields:

  • Make, Model, Variant
  • Year, Color
  • VIN / Chassis number
  • Mileage (for used vehicles)
  • On-road price
  • Insurance details

Tips ​

  • Keep catalog updated — Remove discontinued products
  • Use categories — Easy filtering and reporting
  • Set accurate tax rates — Avoids invoice errors
  • Track cost price — Enables profit margin analysis
  • Use SKU codes — Faster search and identification
  • Link to deals — See which products drive revenue
