Custom Fields
What are Custom Fields?
Custom Fields let you add additional data fields to any entity in ZenTraq beyond the standard fields. Every business is unique — custom fields make the CRM fit your exact needs.
Supported Entities
You can add custom fields to:
- Leads
- Contacts
- Accounts
- Deals
- Invoices
- Properties (Real Estate)
- Bookings (Real Estate)
- And other industry-specific modules
Field Types

Creating Custom Fields
- Go to Settings → Custom Fields
- Select the Entity Type (Lead, Contact, Deal, etc.)
- Click + Add Field
- Configure:
- Field Label — Display name (e.g., "Preferred Language")
- Field Key — System name (auto-generated, e.g., "preferred_language")
- Field Type — Select from the types above
- Required — Whether the field must be filled
- Options — For Select/Multi-Select, define the choices
- Default Value — Pre-filled value for new records
- Placeholder — Hint text shown in empty field
- Searchable — Whether this field appears in filters
- Click Save
Managing Custom Fields
Editing
- Change label, options, default value
- Cannot change field type after creation (to protect data integrity)
Ordering
- Drag fields to reorder how they appear on forms
- Group related fields together
Deactivating
- Toggle a field to "Inactive" to hide it without deleting data
- Data is preserved — reactivate anytime
Deleting
- Permanently removes the field and all associated data
- Cannot be undone — use with caution
Using Custom Fields
On Forms
Custom fields appear on create/edit forms below standard fields:
- Grouped under "Custom Fields" section
- Required fields marked with asterisk (*)
- Validation enforced per field type
In Filters
If marked as "Searchable", custom fields appear in:
- Advanced filter sidebar
- Field dropdown in filter conditions
- Quick search (text fields)
In List Views
- Custom fields can be shown as columns
- Use the Column Selector to show/hide custom field columns
In Exports
- Custom fields are included in CSV/Excel exports
- Column header uses the field label

Tips
- Don't over-create — Only add fields you'll actually use and report on
- Use Select over Text — Standardized values are easier to filter and report
- Name clearly — Future users should understand the field from its label
- Group logically — Keep related fields near each other
- Mark searchable — Only fields you need to filter by
- Use defaults — Saves time for common values
