ZenTraq for B2B and general sales organizations covers the complete revenue cycle — from lead generation through qualification, proposal, negotiation, and invoicing. Designed for SaaS companies, consulting firms, wholesalers, and service providers.

Prerequisites ​

  • Organization registered with Industry Profile set to "General Sales / B2B"
  • Product or service catalog configured
  • Pipeline stages defined for your sales process
  • Team members created with appropriate roles

Getting Started ​

1. Configure Product Catalog ​

  1. Navigate to Products and click + New Product.
  2. For each product or service, enter: Name, description, SKU/code, unit price, tax percentage, and status (Active/Inactive).
  3. Organize products into categories for efficient selection during quoting.

2. Define Lead Sources ​

Configure acquisition channels in Settings > Lead Sources:

  • Website, Google Ads, LinkedIn, Social Media
  • Referral, Cold Call, Trade Show
  • Email Campaign, Partnership

3. Establish Pipeline ​

Review the default B2B pipeline in Settings > Pipelines. Customize stage names, probabilities, and add or remove stages to match your sales methodology.

4. Set Up Communication ​

Configure email (SMTP) and WhatsApp for direct prospect engagement from within the CRM.


Day-to-Day Workflow ​

Lead Management ​

  1. Capture leads from website forms, imports, manual entry, or WhatsApp inquiries.
  2. Qualify leads — Update status, add notes, and score based on fit and engagement.
  3. Assign to representatives — Manual assignment or round-robin distribution.
  4. Follow up — Log calls, send emails, schedule meetings, and create tasks.

Lead Conversion ​

When a lead meets qualification criteria:

  1. Open the lead record and click Convert.
  2. The system creates three linked records:
    • Contact — The individual decision-maker
    • Account — Their organization
    • Deal — The revenue opportunity
  3. All historical data and communication transfers to the new Contact.

Deal Management ​

Track each opportunity through the pipeline:

  1. Create or convert deals with: Name, amount, close date, stage, and owner.
  2. Progress deals through stages as milestones are achieved.
  3. Associate relevant contacts, products, and quotes.
  4. Log all interactions (calls, meetings, emails).
  5. Set win probability for forecasting accuracy.

Quoting ​

  1. From a Deal, click Create Quote.
  2. Add line items from your product catalog.
  3. Configure quantities, discounts, and applicable taxes.
  4. Include terms and conditions.
  5. Send via email or generate a PDF for sharing.
  6. Track status: Sent, Viewed, Accepted, or Rejected.

Invoicing ​

Upon deal closure:

  1. Create an Invoice from the Deal or Quote.
  2. Add line items, taxes, and discounts.
  3. Set payment terms (due date, accepted methods).
  4. Send to the customer via email or WhatsApp.
  5. Track payment status: Draft, Sent, Paid, Overdue.
